Methods of Internal Business Communication

April 20th, 2009

Internal communication in a business is very important if you want to succeed. All departments must be able to communicate with one another appropriately and effectively. When there is a break in communication then processes begin to fail and this can be a very bad thing. There are many ways that a business can practice communication internally which include through email, reports, meetings, phone, and more.

One of the most popular ways that companies practice communication is through email. Email is often preferred by many people because it gives them a trail and proof of the message sent so the person cannot say they weren’t told about a specific project. Email is not always the best method of communication though because it is common for things to be misconstrued and misunderstood. If the communication is poor through email it is common for employees to take things the wrong way, be insulted when they shouldn’t, and can even cause a hostile work environment for no reason at all. When email is a preferred use of communication there still has to be another follow up method.

Meetings are another form of communication internally in a business. The problem with meetings is that they tend to waste a lot of people’s time and can cause a serious lack of productivity. The positive side of meetings is that presentations can be given to staff and everyone can communicate face to face. If you are working on an ad campaign for artificial Christmas trees then you will need to share your status in the project and ideas. In a meeting, everyone can get together and work on their ideas to sell the artificial Christmas trees. You may just find that you have dropped the ball somewhere or missed a product like the lighted palm trees that you need to add to the campaign. Meetings are essential and you have to get together often so everyone can work on a project effectively. You cannot just guess how far along on a project others are and if they are meeting their deadlines.

Phone is a common form of business communication. Many employees will spend a lot of time in their office on the phone. If there is every a question about something or a problem in email that you may have take the wrong way then you should never hesitate to pick up the phone and call the other employee on their extension. The last thing that you want to do is take something the wrong way or start on a project confused.

There are many methods of communication that companies use to work together collaboratively. The best thing that you can do is choose a method that all of the employees are comfortable with using. You may integrate all of these methods in to make things run smoothly between departments. Communication is the most important thing and if you all cannot work together effectively then it will cause projects to fail and employees to be unhappy with the way things are going.

The web is a preferred medium today for most people and a great place to start if you have a product that will allow you to target the world.

Print publication is another channel that companies use to market their business. A company that sells artificial Christmas trees usually wants to target the local community in newspaper ads. A local newspaper is the best place to advertise sales and weekend specials you might be holding on prelit artificial Christmas trees and possibly holiday events you might be holding too. You also might consider using holiday magazines as a form of print media to advertise the sales of your artificial trees.

The radio is a good place to go and common for some businesses to deliver a message to a local community. Radio stations often limit the message being delivered to a specific crowd. For example, not everyone listens to classical music so if you advertise on a station like this then the targeted audience would be to possibly an older and calmer crowd. If you are targeting a younger crowd then you may consider communicating your message on a hip hop station.

Word of mouth is not a very successful method for communicating to potential customers and clients that your business exists. This is actually a common reason businesses fail. You cannot rely on friends and family to get the word out and they will not work as hard as a professional marketing campaign to get the word out that you exist. You must use the proper methods of communication to target the proper audience and this is actually a very strategic effort.

Communication is one of the most important things that a company can do to get the word out about their existence to local communities and around the world. There are many different types of channels of communication that you can use in order to be successful. The Importance of Business Communication

September 21st, 2008

Communication in a business is the backbone. Without communication a business cannot function effectively. Communication contributes to many factors in an organization such as for the staff, productivity, motivation, documentation and more.

People who work for a business have to be able to communicate. If you have different locations that are tied together and the employees are unable to talk to each other nothing will get done. Communication occurs in an organization through devices like email, cell phones, fax machines, meetings, video conferences, and more.

When the staff communicates it allows people to know they are on the same level. Managers need to be able to effectively communicate with employees so they know what their roles are. Employees need a clear understanding of their responsibilities. They also need to know how well they are doing or aspects of their position that can be improved. Morale increases when communication is used effectively throughout the organization to the employees. When morale is high in an organization, productivity is high. If you are a sales company of MMA equipment you need to be able to talk.

Communication is not only through verbal communication but through written documentation. Contracts are forms of communication as well as employee reviews. Written communications like contracts allow a business to have accountability for actions within the organization. Should someone fail to comply with the contract the organization can act on this. This includes firing an employee because they had too many written warnings about their behavior, holding a vendor responsible for a written contract, obtaining owed past due balances from clients, and more.

When a business utilizes every form of communication they can it provides a legal trail that can be used to their benefit. Today, companies provide copies of all documentation saved on computer systems so they can prove legally all communication. It is actually a legal requirement most companies retain email from an organization in case there are any issues. An employee may claim they were wrongfully terminated. If you have proof through the email system of a jewelry theft and other various actions, you are legally covered. If you don’t save data the business may lose a lawsuit you are rightfully entitled to win.

An organization needs communication to be able to work with customers and clients. If you haven’t a way to talk to the client they won’t render the mixed martial arts equipment products or services offered by the business. Communication with customers includes initial contact, support, following up, and more.

Communication is what makes a company function in the world today. There are many reasons why a business should have many different methods of communication. It may be in the form of written, soft copy, or even verbal. All businesses function effectively when the communication channels are open. Companies that fail are those that don’t talk or know what is going on. Every department works toward the same goal and everyone should know what their role is and how they all work together to achieve that goal.

There are many ways that communication is responsible for improving process with a business. Here are a few you might want to think about.

1. No doubling of efforts. When people talk within an organization tasks are handed out in a way that everyone knows what their responsibilities are. Efforts are not doubled. If an ongoing project that takes several days to do is being worked on by three people and they aren’t talking, chances are good a lot of time is being used on the same tasks. When employees work together and talk about things, delegation occurs and eliminates doubling of efforts. This saves company money in labor too.

2. Projects run smoother. When communication is working effective through your SEO web design company everyone knows what they are supposed to be doing. If there is a big project that will take several months to complete everyone needs to be able to work together. It is important to know which milestones have been met and more. Blindly trying to complete a project for clients can cause a business to fail, especially if the client is the big money maker.

3. Projects complete faster. When people work together and talk to each other throughout an organization projects are completed quicker. Most projects within an organization often affect the entire business entirely. For example, if a new email system is being integrated the entire staff needs to know about it. The technology staff will need to spend time on each employee’s computer for installation and configuration. If there are three IT technicians working on the project and not talking then they won’t know which computers have been configured and which haven’t.

4. No hostility. Lack of communication in an organization is the primary cause of hostility. People need to talk to one another about everything. If you have your green card through INS and you are given a hard time about a work visa from your boss you must be able to communicate these issues.

5. Clarity. When people talk in an organization there is clarity. Clarity consists of many things. People need to be clear on what their responsibilities are on a day to day basis. Employees should not be wondering what they are supposed to be doing. A company is only losing money when employees aren’t clear about their tasks that should be completed.

It is important to eliminate confusion with the employees, clients and vendors. Projects run smoother when people work together and they also complete faster. People are happy and morale is higher when everyone knows what their role is within the organization.
